King Coach Transfers is a Gold Coast-based private transfer business under ABN 83 676 479 210. We are based in Robina, Queensland, and provide pre-booked private airport, event and charter transfers across the Gold Coast, Brisbane and surrounding areas.

What information we collect

The information we collect depends on how you interact with us.

When you make a booking or request a quote, we typically collect:

  • Your full name
  • Your phone number
  • Your email address
  • Pickup and drop-off addresses
  • Date and time of travel
  • Flight number, airline and arrival or departure details (for airport transfers)
  • Number of passengers and luggage
  • Any special requirements you tell us about (for example, child seats, extra stops or accessibility needs)
  • Payment details, processed by our secure payment provider (see “Payments” below)

When you contact us by phone, SMS, WhatsApp or email, we keep a record of that communication so we can respond and provide the service you have asked for.

When you visit our website, our website and analytics tools automatically collect limited technical information, including:

Payments

Payments made through our website are processed by a third-party payment processor. Your full card number is entered directly with the payment provider and is not stored on our systems. We receive confirmation that the payment was successful, along with limited details such as the last four digits of the card, the cardholder name and the transaction amount.

The payment provider handles your card details in accordance with the Payment Card Industry Data Security Standard (PCI DSS) and their own privacy policy.

Who we share your information with

We do not sell your personal information. We share it only where it is necessary to provide the service, to run the business, or where the law requires us to.

We may share limited information with:

  • Our payment provider, to process your booking payment.
  • Google, through our booking calendar. Booking details are stored in Google Calendar so John can plan pickups. Google’s handling of that data is covered by their own privacy policy.
  • Our website and booking platform providers, who host the site and the booking system on our behalf.
  • Trusted driver partners in John’s network, if John cannot personally complete a booking. In that case we share only what the driver needs to collect you safely — typically your name, phone number, pickup and drop-off details and flight information. Every driver in this network is expected to keep that information confidential and use it only to complete your trip.
  • Our accountant or bookkeeper, for tax and record-keeping.
  • Government authorities or regulators, where we are required to by law (for example, in response to a valid subpoena or lawful request).

We do not disclose your personal information overseas as part of our routine operations. Some of the service providers we rely on (for example, Google and our payment provider) may store data on servers located outside Australia. Where that is the case, we choose providers who apply protections comparable to the Australian Privacy Principles.

Cookies and website analytics

Our website uses cookies and similar technologies to make the site work, remember your preferences and understand how the site is being used.

We use:

  • Essential cookies, which are needed for the website and booking system to work properly.
  • Google Analytics 4, to understand which pages visitors look at, how they arrived at the site and how the site is performing. This data is aggregated and does not personally identify you.
  • Google Ads, to measure the performance of our advertising and to show relevant ads to people who have visited the site.

Marketing communications 

If marketing is sent: From time to time we may email or SMS past customers with service updates, seasonal reminders or offers. Every marketing message includes a way to opt out, and you can also ask us to stop at any time by replying “STOP” to an SMS or emailing kingcoachtransfers@gmail.com.

If no marketing is sent: We do not send marketing emails, marketing SMS or newsletters. If we contact you, it is because it relates directly to your booking or an enquiry you have made.

How long we keep your information

We keep booking and customer information for as long as we need it to provide the service and meet our legal obligations. In practice:

  • Active bookings and recent trips — kept while the trip is being planned and completed, and for a reasonable period afterwards in case of follow-up.
  • Financial records (invoices, payments, refunds) — kept for at least 5 years, in line with Australian Taxation Office requirements.
  • General enquiries and quote requests that do not become bookings — kept for a reasonable period and then deleted or archived.

Website analytics data is retained in line with Google’s standard retention settings.

How we protect your information

We take reasonable steps to protect your personal information from misuse, loss, unauthorised access, modification and disclosure. This includes:

  • Using reputable third-party providers for payments, hosting and booking
  • Keeping devices and accounts protected with passwords and, where available, two-factor authentication
  • Limiting who has access to customer information to those who need it to run the service
  • Storing communication records (phone, SMS, email) on secure, password-protected devices and accounts

No system connected to the internet is ever completely secure. If a data breach occurs that is likely to cause serious harm, we will notify affected customers and the Office of the Australian Information Commissioner (OAIC) in line with the Notifiable Data Breaches scheme.

If a booking includes children (for example, child seat requirements), we only collect what is needed to safely provide the trip.
