Everything you need to know before you book a private transfer with King Coach Transfers. Plain-language rules come first. They cover how bookings and payments work. They also cover cancellations, delays and surcharges. Formal terms and conditions sit at the bottom of the page. Every policy on this page applies to airport and wedding bookings. It also applies to event, corporate, theme park and private charter bookings.

Booking, quotes and payment

How far ahead to book

Online bookings can be made any time. The booking system is open 24/7. Same-day bookings are possible. They need a phone call or text to 0477 787 701 first so availability can be confirmed. Phone enquiries are answered between 6am and 9pm.

Wedding, event and corporate bookings need a week or two of notice as a comfortable minimum. Long-distance runs to the Sunshine Coast or Byron Bay are best booked further out again. That way the calendar can be blocked.

 

Quotes and how prices are set

Instant quotes are available on the booking form. Enter the date, time, pick-up and drop-off address. The price comes back in seconds. Quotes by phone or email are returned within two hours during business hours.

Some routes are flat-rated. Every other trip is priced from the address pair on the booking form. If a run involves multiple stops or an unusual venue, a manual quote is prepared. The trip is then confirmed by a payment link.

 

Payment methods and timing

Every booking is paid in full at the time of booking. Payment is in Australian dollars. This is what secures the vehicle. It also locks the date and time into the calendar.

Accepted payment methods are:

Bookings with multiple stops are quoted first. They are then paid by a payment link sent by email. Once payment clears, the trip is written into the booking calendar by hand. That way the pick-up runs on time.

 

Cancellation and refund policy

Cancellations made with at least 24 hours’ notice are refunded. A $50 non-refundable booking fee applies. The remaining amount is returned to the original payment method within 5 business days.

Cancellations made inside the 24-hour window are non-refundable. The vehicle has already been blocked out on the calendar for the pick-up time. It cannot be re-sold at short notice.

Rescheduling is treated the same as a cancellation and re-book. The exception is when a new date and time are agreed by phone. If the vehicle is available on the new date, the booking is moved without a refund step. No fee is charged for the change.

For weddings, events and any booking made months in advance, the same 24-hour rule and $50 fee apply. The rule is not different because the booking was made further out.

 

Flight delays, waiting time and no-shows

  • Flight delays. If a flight is delayed, call or text 0477 787 701 as soon as you have a new time. WhatsApp works too. Waiting time on a delayed flight is not currently charged. If you are flying into Australia from overseas, check your landing date carefully before you book. The arrival date can differ from the departure date in the country you left. The booking has to match the actual landing time.
  • Arrivals waiting. Standard airport pick-ups allow reasonable time for you to clear baggage and customs. There is no fixed free-waiting cap at present. It helps to send a text on landing. The vehicle is then on its way to the meeting point.
  • No-shows. If a passenger cannot be located at the pick-up point, attempts are made by phone, SMS and email. The contact details on the booking are used. If none of these reach you, the trip is treated as a no-show. The fare is not refunded. That is why it matters to double-check the flight date, time and terminal before you book.

 

Fares, surcharges and inclusions

  • What is included in the fare. The vehicle for your group, the driver, fuel and tolls. Door-to-door pick-up and drop-off is included. In-car bottled water, five charging points, mints and second-row climate control are on board at no extra cost.
  • Minimum fare. $80 for any booking, regardless of distance.
  • Late-night surcharge. A $50 surcharge applies to pick-ups after 9pm and before 4.30am. The surcharge is added automatically on the booking form. It is shown on the quote before you pay.
  • Public holiday surcharge. None at present.
  • Child seats. Available at additional cost. Request the seat type and the child’s age when you book. You can add a note on the booking form instead.
  • Multi-stop. Priced on top of the base fare. Confirmed by payment link before the booking is locked in.
  • Return trips. Booked as two separate one-way journeys. This keeps the price clear for each leg. It also allows a rule like a late-night surcharge to apply to only the leg that needs it.

 

Passenger, luggage and vehicle rules

Passengers and child seats

Up to seven passengers travel in the Kia Carnival GT-Line. Every passenger must wear a seatbelt for the whole trip. The fare covers the vehicle. The price does not change with passenger count between one and seven.

Groups of more than seven are handled differently. A second driver in a vehicle of similar standard is arranged on the same booking. Let King Coach Transfers know at the quote stage. The second vehicle is then organised in advance.

Child seats carried on board are capsule, rear-facing, forward-facing and booster. Two of each are stocked. Under Queensland law the parent or guardian fits the seat. If you prefer to bring your own restraint, that is fine. It needs to be clean and in a safe condition.

Luggage and gear

Six large suitcases fit comfortably in the boot. Seven sets of golf clubs fit across the boot without folding a seat. A racing bike in its case goes straight in without dropping a seat. Surfboards and longboards travel with the second-row middle seat folded down.

Groups sometimes travel near both limits at once. Say six adults with six full-size suitcases and a set of clubs. Call 0477 787 701 before booking so the configuration can be confirmed.

Pets are not carried on any booking.

Conduct and behaviour

The vehicle is kept in showroom condition between jobs. It stays that way with a small amount of common sense from passengers. Food, drink other than the water provided, and alcohol are not consumed on board unless agreed at booking. If a passenger’s behaviour is unsafe or damages the vehicle, the trip may be ended. A cleaning or damage fee may apply. See the formal terms below.

Nobody is turned away for one bad day. Repeat misbehaviour ends the customer relationship rather than a single ride.
